Your Role:
As the Executive Assistant, you’ll be the mastermind behind keeping everything running smoothly for our COO. You’ll dive into their bustling world, helping them organize their business (80%) and personal life (20%).
Your Responsibilities:
- Calendar and Schedule Management: Maintain the COO’s calendar, ensuring it’s well-organized and all appointments are efficiently scheduled.
- Communication Expertise: Manage the COO’s emails, draft polished communications, and maintain an organized filing system.
- Meeting Coordination: Prepare comprehensive meeting agendas, coordinate with stakeholders, and record accurate minutes.
- Operational Support: Collaborate with department heads to gather operational data and assist in tracking key performance indicators.
- Personal Assistance: Support the COO with personal appointments, travel arrangements, and special projects.
Your Skills and Qualifications:
- Native or advanced proficiency in English and Spanish because our COO loves to communicate in both languages.
- A hawk’s eye for detail and a genuine love for learning new things.
- Experience in creating and writing SOPs (Standard Operating Procedures) is a plus.
- Basic graphic design skills because you’ll sprinkle some creative magic from time to time.
- Tech-savvy with Microsoft Office 365 and Asana.
- You’re known for your punctuality and reliability—never missing a beat.
- Comfortable with handling sensitive information and maintaining confidentiality.
- Personal and professional goals drive you, and you’re eager to achieve greatness together.
- Proven experience providing executive support, ideally at the C-level, demonstrating exceptional organizational skills.
- Bachelor’s degree or equivalent experience in a related field.
